- Mailout and follow up
- Confirm speaker's handouts
- Prepare information pack - bus timetables, taxi numbers..
- Name tags in alphabetical order
- Delegate satchels : giveaways stored for easy access
- Correct and clear signage
- Visible registration desk
- Storage area for boxes and excess
- Staff:
- Organise staff for registration
- Brief staff
- Brief staff on VIP protocol
- Arrival and exit contingencies - late and early
- Housekeeping for staff, e.g. toilet breaks, first aid
- Messages and organise message board
- Meeting stakeholders, e.g. security, key hotel staff, MC, A/V
- Map of layout of delegate registration area for easy access
